A METHOD ILLUMINES THE WAY FORWARD

Design of systems is an iterative exercise with discussions with different team members.

  • 1. Understand the business, objectives of functional departments. Discuss and interview process managers and different stakeholders to understand existing systems. Develop user stories and “what if” situations to understand policies and processes and document them

  • 2. Review and analyse. Develop recommendations

  • 3. Present documented system with recommendations to client team for discussion and finalization

  • 4. Document the final agreed system.

  • 5. Train staff, if required in functional systems.

  • Documenting Existing Systems

    This involves discussions and interviews with process managers and the various stakeholders to obtain a comprehensive understanding of the existing systems. We help develop "user stories" and "what if" situations to comprehend policies and procedures before we proceed to document them. Furthermore, we review written as well as unwritten policies and processes and proceed to document workflow processes, procedures, data collected and reports generated. This is followed by mapping of roles, responsibilities and authorizations (required) of personnel. Lastly, the documents are validated. It is important to note that the designing of systems is an iterative exercise requiring discussions with different team members.

  • Understanding Expectations and Apprehensions

    Gathering an understanding of a business, especially with regard to the objectives of its functional departments is the essential first step for us. This is accomplished by meeting people across levels-starting from the board and members of the senior management team to people at the operations level. Importantly, one is also able to get a sense of any expectations and apprehensions.

  • Redesign and Corroborate

    Design of systems is a participatory exercise with discussions and validations from different team members. This gives employees opportunity to share their views or inputs on the redesigned systems and hence reduces resistance to adoption by them. The systems incorporate current best practices in the industry and business besides complying with the statutory laws. Fine tweaks can be made when put in practice.
